Legal Personal Assistant / Office Coordinator

Rare role!!! Can you provide PA / Secretarial and Office Coordination including reception and administration support to this immigration office?

Based on the reception desk, you will be responsible for a variety of tasks including:

Personal Assistant:

  • Managing Client relationships
  • Preparing and updating client status reports
  • Preparing visa enquiry reports
  • Preparing accurate visa applications and other documentation from minimal instruction
  • Attending to clients and dealing with enquiries and requests on behalf of fee earner
  • Organise client meetings, functions and activities in conjunction with marketing team
  • Attending to incoming and outgoing emails
  • Research tasks
  • Booking of travel and accommodation
  • Photocopying, scanning, printing, faxing etc

Reception / Office Coordinator:

  • Ensuring clients are greeted in a prompt and friendly, professional manner
  • Attend to telephone calls, taking accurate messages where possible
  • Attending to all incoming and outgoing calls for the office
  • Maintaining common areas (reception, kitchen, stationary cupboard, photocopying area etc) to a high standard
  • Creating files and archiving
  • Attending to outside deliveries if required
  • Coordinating induction program for new starters
  • Overseeing general office requirements liaising with building management / contractors
  • Coordinate all office events both team events and client functions
  • Liaise with IT regarding new users and issues
  • Ad hoc duties as requested

To be considered for this unique opportunity you will need to have:

  • A minimum of three years experience as a Legal Secretary
  • Previous experience in immigration law is advantageous
  • A polite and courteous manner, empathy to different cultures
  • A flexible manner, open attitude to tasks
  • Excellent communication skills
  • Sound computer skills (minimum 70wpm and intermediate advanced knowledge of Word)
  • Team player attitude
  • Willing to learn and take on new tasks
