This is not a standard Executive Assistant role; we are calling on the best of the best to take on a role supporting the Director AND his portfolio "Corporate Services" 

 

An experienced and innovative EA, you will take from your experience in previous roles to observe, implement and identify substantial changes to assist in the better performance of this vastly growing environment! 

 

This role is not for the faint hearted, it offers challenge and recognition, but also the opportunity to work close to home if living in the Northern Suburbs and the amazing draw-card, a 9 day fortnight! 

 

Client / Environment 

 

Based in the outer Northern Suburbs and providing valuable services to the community, from Planning to Community Services, Recreation, Visitor Information Services, the list continues. 
 
A mixed culture of traditional long serving staff and innovative new members challenges and complements the organisations external services as they work together to service the growing demands and workloads put upon them by the community. 
 
The Role 
 
Working directly with the Director of Corporate Services, you will demonstrate the necessary traits required to complement your managers weaknesses. You will also work to innovate and execute tasks, processes and plans that assist the Director in achieving a more streamlined and successful Portfolio. 
 
This portfolio will see you working indirectly to support the Customer Service Manager, The Finance Manager, The Community Service Manager and The Marketing Communications Division and be the essential communication tool that ensures all departments are working together to achieve the Directors goals for continual improvement.  
 
All this, whilst confirming to the overall legislative requirements of the business including internal and external stakeholder relations of a government and private nature. 

 

Some examples of your duties: 
  • Diary Management, Correspondence Management, Minutes, Reporting, Investigative Reporting  
  • Event Coordination & Management including a close working relationship with Marketing/Communications Department for the reasons of Press, Speech Writing, Advertising, Creative, Public Relations, etc  
  • Senior Management and External Meeting attendance  
  • Stakeholder Relationship Management  
  • Change Management and Systems Improvement Management  
  • Process & Document Control Management  
  • Executive Assistant duties to the Director himself  
(point of contact for, including management of diary, correspondence, and other representation)  

 

The Ideal Candidate: 
  • Will be a professional and experienced EA with experience in process improvement  
  • Will ideally be available immediately or shortly for a temp-to-perm scenario (please indicate if otherwise)  
  • Will present with advanced level Microsoft Suites - and will be tested in all programs  
  • Some website, marketing and creative exposure  
  • Will present with refer references of a Senior Management Level  
  • Will be an executive assistant who is looking for a role where change and development is encouraged and is driven for a challenge  
  • Will be Experienced in managing a multiple layer of stakeholder relationships and experienced with multiple disciplinary responsibility  
  • Will be happy to High Level Clearance will be required  
  • Will assume that after hours work will be required when talks are not completed  
  • Will have a strong understanding of internal communications and give examples of how  

they have worked to providing unity and stronger internal communications to result in a more effective Department
